Privacy Policy
This policy explains what personal information Clarens Mountain Estate collects through this website, why we collect it, and what you can ask us to do with it. It is written to meet our obligations under South Africa’s Protection of Personal Information Act, 2013 (POPIA).
Who we are
Clarens Mountain Estate is a residential estate in Clarens, Free State, South Africa. For the purposes of POPIA we are the responsible party for the personal information described below.

What we collect, and why
We only collect information you choose to give us. We do not buy personal information, and we do not build profiles of visitors.
When you send an enquiry
Our contact form asks for your name and email address, and optionally your phone number and a message. We use these solely to respond to your enquiry about the estate. We also record the date you gave consent and a shortened version of your IP address (with the final portion removed, so it cannot identify you) as evidence that consent was given.
We will not add you to a mailing list, share your details with third parties for marketing, or contact you about anything unrelated to your enquiry.
When you simply browse
Our web host keeps standard server logs, which include IP addresses, for security and troubleshooting. This site does not set advertising or tracking cookies, and does not use third-party social or advertising pixels.
Our fonts are served from our own server rather than a third party, so browsing these pages does not disclose your IP address to any external font provider.
Third parties
Some pages embed services operated by others, and using them means interacting with those providers under their own privacy terms:
- Google Maps — embedded on our Contact page to show the estate’s location.
- WhatsApp — the stand map offers a WhatsApp enquiry button. Using it starts a conversation on WhatsApp, operated by Meta.
We do not send your enquiry details to either of these; they are only involved if you choose to use them.
How long we keep it
Enquiries are kept for as long as they remain commercially relevant — generally up to three years from your last contact with us — after which they are deleted. If you ask us to delete your information sooner, we will do so unless the law requires us to keep it.
How we protect it
This website is served over an encrypted connection. Enquiries are stored on our website’s server, access to which is limited to the people who need it in order to respond to you. We review who has access periodically.
Your rights under POPIA
You have the right to:
- ask what personal information we hold about you, and request a copy of it;
- ask us to correct information that is wrong, misleading or out of date;
- ask us to delete information we no longer have good reason to keep;
- withdraw your consent at any time, which will not affect anything done before you withdrew it;
- object to us using your information for a particular purpose;
- complain to the Information Regulator if you believe we have not handled your information properly.
To exercise any of these, email info@clarensmountainestate.co.za. We will respond within a reasonable period, and at no charge for a first request.
Our Information Officer
POPIA requires every responsible party to have an Information Officer, who is accountable for how personal information is handled and who deals with requests and complaints. Ours can be reached at info@clarensmountainestate.co.za. Please mark correspondence for the attention of the Information Officer so it is routed correctly.
Changes to this policy
If we change how we handle personal information, we will update this page and revise the date at the top. Material changes affecting information already collected will be communicated directly where we are able to reach you.
